Privacy Policy

This policy explains what personal information OpenBluebird collects when you book a walk or browse this site, why we collect it, and the choices you have. Last updated 1 January 2026.

1. Who we are

OpenBluebird operates neighborhood walking tours in Tokyo and the Kansai region. In this policy, "we", "us" and "our" refer to OpenBluebird, with its planning office at 2-8-4 Chitose, Sumida-ku, Tokyo 130-0025. We are the data controller responsible for the personal information described below. If you have any question about how your information is handled, you can reach us by phone at 03-3631-3873 or by email at hello@openbluebird.com, and a member of our team will respond.

2. Information you give us

When you book a walk, join a waiting list, or contact our team, we collect the details you provide directly. This typically includes your name, email address, telephone number, the walk and date you selected, the number of people in your party, and any accessibility needs or dietary notes you choose to share so we can prepare properly. If you pay online, your card details are handled by our payment processor and are never stored on our own servers. We only retain a record that a payment was made and its amount.

3. Information we collect automatically

When you visit this website, our servers and analytics tools record limited technical information, such as your browser type, device type, approximate region based on your IP address, the pages you viewed, and the site that referred you. This information helps us understand which neighborhoods visitors are curious about and where our pages could be clearer. Where this data is tied to cookies that are not strictly necessary, we only collect it after you have given consent through our cookie banner.

4. How we use your information

We use your information to confirm and manage your booking, to send you the meeting point and practical notes for your walk, to answer your questions, to process refunds where they apply, and to keep our routes safe and well staffed. With your separate consent, we may also send you occasional news about new neighborhoods and seasonal walks. We do not use automated decision-making or profiling that produces legal or similarly significant effects on you.

5. Legal grounds for processing

We process your information on several legal bases. Fulfilling a booking relies on the performance of our contract with you. Analytics and marketing rely on your consent, which you may withdraw at any time. Keeping accurate records for tax and accounting relies on our legal obligations. Reviewing safety incidents and preventing misuse of our services relies on our legitimate interests, balanced against your rights and freedoms.

6. Sharing your information

We share your information only where necessary. Our guides receive the first names and group size for the walks they lead. Our payment processor handles your transaction. Our email and hosting providers store information on our behalf under written agreements that require them to protect it. We may disclose information where we are legally required to do so. We never sell your personal information to third parties, and we do not allow our providers to use it for their own purposes.

7. International transfers

Some of the service providers we rely on may store or process data outside Japan. Where that happens, we take steps to ensure your information receives a level of protection consistent with this policy, including through contractual safeguards with those providers. If you would like more detail about a particular transfer, please contact us using the details above.

8. How long we keep information

We keep booking records for as long as needed to provide the service and then for the period required by applicable tax and accounting rules, after which they are deleted or anonymized. Marketing contact details are kept until you unsubscribe or ask us to remove them. Website analytics data is retained in aggregated form only. We review our records periodically and remove information we no longer need.

9. Your rights

Subject to applicable law, you may ask us for a copy of the information we hold about you, ask us to correct inaccurate information, ask us to delete information we no longer need, object to certain processing, or ask us to restrict how we use your information. You may also withdraw consent at any time where our processing relies on it. To exercise any of these rights, contact us and we will respond within the time required by law.

10. Keeping information secure

We use technical and organizational measures to protect your information against loss, misuse and unauthorized access, including encrypted connections, access controls, and staff training. No method of transmission or storage is completely secure, but we take the security of your information seriously and review our safeguards regularly.

11. Children

Our walks are open to families, but bookings must be made by an adult. We do not knowingly collect information directly from children without the involvement of a parent or guardian. If you believe a child has provided us information without such involvement, please contact us and we will remove it.

12. Japanese personal information law

OpenBluebird is run from Tokyo, so your information is protected by Japan’s Act on the Protection of Personal Information (APPI). We use your details to confirm your walk, send the meeting spot, and let your guide know about anything that affects the pace, such as a pushchair or a slow walker in the group. We do not share them with the shops, temples or cafes we pass on a route.

To see the information we hold about you, correct it, or ask us to stop using or delete it, write to hello@openbluebird.com, call 03-3631-3873, or send a letter to 2-8-4 Chitose, Sumida-ku, Tokyo 130-0025. Tell us the date of your walk, and after confirming it is you we will reply within two weeks.

13. Changes and how to contact us

We may update this policy to reflect changes in our practices or the law. When we make a material change, we will update the date at the top of this page and, where appropriate, let you know directly. If you have questions, concerns, or a complaint about how we handle your information, please write to hello@openbluebird.com or call 03-3631-3873. You also have the right to lodge a complaint with your local data protection authority.
